The following terms and conditions apply to you and Hi Five Trip. If you plan to book a tour with us, please read these terms and conditions carefully. If you book a tour with us, you agree to these terms and conditions. Thank you for understanding and accepting our terms and conditions.
1. Payment
1.1 Reservations and Deposits
After you have confirmed your itinerary with our travel consultant, we will charge you a deposit to secure your booking. Our deposit is usually 15% of the total cost of the tour. However, if it is a larger group, the amount of deposit will be different and may be higher. You can talk to your travel consultant about the specific situation.
Once we have received your deposit, we will send you an email confirmation and ask you to confirm that you have booked our services and some other details, such as your personal information and the services you have booked. If there are any errors or omissions in the Confirmation Letter, please consult our travel consultant immediately. We will correct and supplement in time.
1.2 Balance Payment
As for the full or final payment of the travel, you need to pay within 30 days before the trip to ensure the smooth development of your travel plan. After you have paid the deposit, we will send you a travel service Confirmation Letter stating the deadline for you to pay the balance. If you do not pay the fee on time or in full, we will send you an email reminder before the deadline. If you book and travel with us within 30 days of your trip, you will need to pay in full at the time of booking.
1.3 Payment Methods
To make it easy for you to pay, we offer a variety of payment methods. You can pay us for tours and services in the following ways:

1.4 About Quotes and Exchange Rates
The prices shown on our website are quoted to you in US dollars, which are calculated based on the exchange rate at that time based on the quoted CNY. However, due to exchange rate fluctuations, prices may change when you book. The price may go up or down. Please calculate the price based on the real-time exchange rate. Please consult your travel consultant for specific exchange rates and quotes. We provide you with the most professional travel consultants and travel consulting.
We recommend that you contact your travel consultant in order to confirm the specific quotes and the payment method that is best for you.
2. Cancellation and Refund
2.1 Cancelled by You
We understand that you may need to cancel some or all of your scheduled travel services or tours due to changes in your plans. If you want to cancel a confirmed order for your own personal reasons, you can send us a cancellation request at any time before departure. If you need to cancel, you can send us an email or submit your order cancellation request in writing by fax. One thing you need to know is that if you cancel a confirmed reservation, we will charge you a cancellation fee. The cancellation fee will be calculated from the date we receive your cancellation request.
You can refer to the following information for the date of receipt of the cancellation request and the calculation method of the corresponding cancellation fee:

No refund will be made if you do not use part or all of the services due to personal reasons such as unwillingness, inability to attend, late arrival, etc. Replacing guests is not feasible, and we will treat this as a cancellation and will require you to pay the cancellation fee under the cancellation fee calculation rules.
If there are more than 10 people in your group, the terms of the cancellation fee may be different. You can consult your travel consultant for details.
2.2 Cancelled by Us
Sometimes, due to force majeure or unexpected events, we have to cancel the tour booked with you. We are very sorry for this. If we need to cancel a travel order with you, we will notify you as soon as possible. At the same time, we will cancel the cooperation with you in accordance with the relevant Chinese laws and regulations and our cancellation terms, and refund you the refundable amount according to the specific circumstances. If you are unable to pay in accordance with our payment rules, we will also cancel your tour booking service.
3. Alteration of Itinerary
3.1 Change by You
Hi Five Trip is committed to providing you with the best private customized travel service, and our travel consultants will develop your travel plan according to your preferences and needs. Before you confirm the booking of your tour itineraries and tour items, you can ask your travel consultant to adjust the itineraries until you are satisfied, which is free of charge. If you have received your Confirmation Letter, you can still change your tour itineraries, but we cannot guarantee that these changes can be made. We will do our best to make changes for you, but we will charge any extra costs incurred, including additional cost of new service items and potential cancellation fees.
If a travel service charge has already been incurred at the time of your change (for example, services such as hotels, flights and cruises have been booked), this will also be your responsibility. If we can obtain a partial or full refund for this unused service, we will also return it to you.
3.2 Change by Us
Sometimes, due to some unexpected events, we have to change the itineraries confirmed with you and notify you in time by email or phone. If we change your travel plans for our own reasons, we will refund you in more specific circumstances. If it is due to force majeure or unexpected events, such as flights, land transportation, hotels, and attractions, which are beyond our control, I will provide you with alternatives. Changes to travel plans resulting from this situation will be charged for the change and the cost of your travel will be recalculated, charged, or refunded as appropriate. If you do not accept our changes, cancellation fees may apply.
4. Travel Documents
If you have booked a tour with us, please prepare your own passport valid for at least 6 months from the date of departure. In addition to a valid passport, you may also need to prepare the necessary visa, unless you qualify for visa exemption. You can ask your travel consultant for help so that you can smoothly apply for the necessary travel documents, such as some places you may visit may require additional permits.
While your travel consultant can assist you in applying for the necessary travel documents, please note that it is your responsibility to prepare a valid passport, visa, or permit. Hi Five Trip will not be liable if you are unable to travel due to your own failure to obtain the necessary documents or if your documents are invalid. So, for your own good, please take it seriously.
5. Health Requirements
It should be clear to you that any international travel can be dangerous and that you should consult your doctor first to make sure that you are fit to travel, or if you are suitable for certain items in your travel plan. If not, we recommend you avoid it.
If your destination is a high-altitude area such as Tibet, you will need to provide us with a doctor's note that your blood pressure and heart condition are healthy so that we can confirm that you are fit to travel there.
If you are medically unfit to travel, we reserve the right to refuse to provide travel services to you, including anyone with certain medical conditions or who is more than 6 months pregnant.
If you are traveling to a destination with special health and hygiene needs or vaccination requirements, please consult your doctor or local health department in advance.
6. Luggage Allowance
Whether it is Chinese airlines or international airlines and trains, there will be baggage allowance regulations. Different regions may have different requirements; please consult in advance for detailed regulations.
Though checked baggage allowance within China varies by airline, we can provide a general guideline for reference: 20kg (44 pounds) for economy class, 30kg (66 pounds) for business class, and 40kg (88 pounds) for first class. In addition, you can bring carry-on luggage, but the weight limit for carry-on bags may vary slightly depending on the airline's regulations.
If your baggage exceeds the free allowance, you will be responsible for the cost of checking excess baggage. According to the General Administration of Civil Aviation of China, all your luggage needs to be locked; otherwise, the airport may refuse to load the luggage on the plane.
7. Insurance
Accidents during travel can be unpredictable, so we strongly recommend that you take out comprehensive insurance to ensure that you can cover the consequences of unknown risks. The insurance you buy should cover the following:
Personal safety or health: such as medical insurance, personal accident insurance, to provide you with injury, disability, death, and medical protection during the travel process. If you are planning high-risk sports such as skydiving or other sports or adventure activities as part of your travel itinerary, we recommend that you take out an insurance policy to cover these as well.
Personal finances: Your insurance should cover lost or damaged luggage, stolen property, or delayed or canceled flights.
8. Force Majeure
Force majeure refers to unforeseeable, unavoidable and irresolvable objective circumstances, including -- but not limited to -- those arising from natural and social causes, such as natural disasters (such as fires, storms, floods, earthquakes), wars, terrorist activities, unrest, strikes, epidemics, acts of government or other authorities, etc. In the event of force majeure or accidents that prevent or affect the performance of our contract with you, Hi Five Trip will not be liable for any loss or damage arising therefrom. In the event of a force majeure or unexpected event, we will discuss the next step with you in a timely manner and help you as much as we can.
9. Complaints and Claims
If you have any dissatisfaction with the services provided by Hi Five Trip, you can tell us through your local tour guide, your tour consultant, or contact us directly. Whether it is before, during, or after the tour, we will try our best to solve your problems, try our best to remedy them, and provide you with the best service experience. We will learn from experience to prevent similar problems from happening again.
If you have any complaints or claim for compensation, please email contact@hifivetrip.com within 15 days of the end of the trip. If you file a claim after 15 days, we will not be liable.
10. Liability and Responsibility
We are responsible for the services we provide, such as the travel information we provide, travel booking services, and other parts we agree to arrange and provide. However, it is not responsible for the mistakes or illegal acts of third-party suppliers such as transportation, hotels, and scenic spots. If you experience any problems or losses while using the services provided by a third party, you should turn to the third-party provider. Hi Five Fine is solely responsible for our employees, agents, or suppliers who are owned by us or under our control. Hi Five Fine will not be responsible for any change or cancellation of the tour due to force majeure or unforeseen events after the tour has commenced. You are responsible for the loss or theft of valuables due to your own violation of customs regulations or due to your negligence.
